Promote the Event
Spread the word! It’s time to share the event with your people! Post the custom promo materials to your social pages, group chats, newsletters—wherever you vibe online. Feel free to record your own promo video too! Let’s get the word out together.
Aim to post weekly to keep the energy up and build buzz leading up to the event. Consistency makes all the difference!

Prepare for your Session
For Talks: Prep & polish your slides—keep them sharp and focused. Rehearse your talk to nail the timing and deliver it naturally within your time parameters - 30 minutes will go by fast!
For Panels: Prep your key points based on the discussion topics and guiding questions. Aim to contribute meaningfully to the flow of the conversation with your peers.
Backstage Link for Live Stream: Test your backstage link(s) to join your live stream at least 1 week before the event to make sure you can login smoothly. A quick tech run-through saves last-minute stress. Links are located in your speaker profile below.

Download Your Custom Kit: Grab your personalized content including 2 images, 2 videos, and general event content from the shared folder (or click button below to access).
Use the Captions: We’ve got caption templates in the chart below to copy/paste with your posts easy peasy. Feel free to remix with your own voice as well.

Always add the event registration link with your post so your audience can easily grab their tickets. Drop it in your post comments on LinkedIn, add it to your profile links, tag in your Stories — make sure it’s front and center so folks can find it and click without a hassle.
Share Everywhere: Post on your socials, drop it in group chats, share in newsletters — wherever your people are, spread the word.

Speaker Responsibility to Prepare for Your Sessions
We’re excited to have you share your voice for this event. We’re entrusting you to prepare for your session by drawing from your lived experience and relevant research to cover the key points outlined for your topic. Bring your voice, your vision, and of course—your own razzle dazzle in planning a meaningful, informed session.

Panels: 2-4 speakers, 1 moderator, 1 hour

💬Review the Notes: Take time to review the itinerary and look over any notes we’ve provided in the airtable itinerary so you know what to cover.
🎤 Presentation Slides: Copy the presentation template to customize for your session. Click “Use template for new design,” Only this template is allowed.
✨ Pro tip: Practice your presentation ahead of time and make sure you can stay within your time slot of 30 minutes.

💬Review the Sample Panel Questions: Take time to look over the sample questions we’ve provided in the airtable so you know what to expect.
✨ Pro tip: Take a mental note of key points you want to share for each question so your answers flow smoothly during the live event. Being prepared = feeling confident = a great experience for you and the audience.

Expo Booths
This is your spotlight to share more about your brand or business.
✅ This is your time to slef-promote and share more about your work, offers, and services directly with attendees.
✨ Attendees will have designated time to attend the Expo Booths during the Mixer/Expo portions of each event day at the following times (this is when you want to be streaming from your virtual expo booth if you choose to use it):
9:30-10am CT
12:30-1:00pm CT
3:30-4:00pm CT

Session Notes
✅ Review the Backstage Link at least 1 week before your session to familiarize yourself with the platform. You won’t be able to go live, just view the backstage and check you camera and audio seetings.
✅ Login 10 minutes before your session starts. Join via the Backstage Link listed in your profile and you will be welcomed into a virtual greenroom (private room behind the scenes) to check audio and video quality before going live.
💬Tech Support. If you are having any technical difficulty, message a Tech Support member with the🔧icon next to their name.
🗣️ Stick to the topic and respect the space — you’re a guide and facilitator during this time.

Please find the following information below:
Set up your Speaker Profile by MAY 8 in the event platform Circle (when you registered you were sent an email to login to circle with your all access pass)
Copy & paste your bio, photo etc. from the airtable below into your Speaker Profile on Circle, where your session will be hosted. You will be added as a host for your session and given your links once this is done.
Find your session links by May 15 in the airtable below (they will be provided once your Speaker Profile has been completed in Circle)
Links Explained
Backstage Link - This is the link to join to host your session. It is like a virtual greenroom to check your audio and video before streaming live to the audience. Use this link to test that all of your tech is working correctly at 10 minutes before your session starts.
Expo Booth Link - This is the link to join to host your own virtual expor booth. It is like a private stage to promote your personal brand or business directly with the audience during the Expo/Mixer portions of the event.
